Job Description

We are looking for a motivated Administrative Assistant & Document Controller to support small agile project team with technical and administrative activities. You will coordinate document flow to and from EPC contractors, document approval flow inside the project team and with external stakeholders, support the project team and sales process with technical documentation, manage meeting coordination (including external suppliers), and perform a variety of administrative tasks. The role requires strong organizational skills, attention to detail, and the ability to interact with internal teams and external partners.

Responsibilities

  • Document handling and control: manage documents to and from EPC contractors, coordinate the review process, and collect comments from all involved stakeholders (internal IA and external at CBE).
  • Sales process support: locate and organize technical documents, manuals, specifications, standards, and other materials relevant to equipment sales.
  • Meeting management: coordinate meetings with external suppliers and other stakeholders; arrange safety training and ensure appropriate access to CBE/terminal.
  • Generate storyboards from method statements from 3D drawings etc.
  • General administrative tasks: schedule meetings and workshops, arrange catering (coffee, lunch) as needed, and perform ad hoc administrative duties.
  • Additional duties: perform other tasks as required, depending on the profile and needs of the team.

Requirements

  • Strong safety mindset, and familiar working on construction site
  • 2-4 years of experience in administrative support, document control, or project coordination (experience in an EPC environment is a plus).
  • Strong organizational skills with high attention to detail; ability to manage multiple tasks and deadlines.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfortable using document management systems (e.g., SharePoint, ERP systems).
  • Excellent written and oral communication skills in English; Danish language skills are an advantage.
  • Ability to interact professionally with internal stakeholders and external suppliers; discreet handling of confidential information.
  • Flexibility to obtain access and participate in safety training as required for access to facilities (CBE/terminal).

Preferred qualifications

  • Document handling / Technical assistant
  • Experience supporting procurement, contract administration, or project documentation in an energy, engineering, or industrial environment.

Location:

Denmark-Fredericia based position (onsite required, with potential hybrid elements).

Occasional interaction with external suppliers and EPC contractors as part of duties.
