Job Description - Information Management Specialist
Part A: Job Specification
Job Purpose
- Guide and perform information management and handover activities for the NFXP Offshore projects scopes to ensure adherence and compliance to company policies and procedures.
Reporting and Relationships
- Reports to Head of Information Management.
- Direct reports: None
Internal
- Frequent contact with project management teams and Major Projects IM
- Periodic contact with other departments within Major Projects Group
External
- Frequent contact with EPC contractors
- Periodic contact with Technical Documentation and Operations departments
- Limited contact with direct Vendors
Job Context & Major Challenge(s)
- Demonstrate mature comprehensive knowledge in leading the development of information management, handover and reporting requirements in complex situations that may be encountered during project execution and close-out periods.
- Maintain timeliness and quality of documentation to support early resolution of issues. Responsible to develop an effective database to capture and store Project History.
- Able to solve complex tasks within time constraints, with minimal guidance; collaborate with project management teams and produce comprehensive documentation with full alignment from the project team.

Key Job Accountabilities
1. Reviews and ensures the correctness and completeness of Information Management activities from Contractors and Subcontractors
2. Verifies and coordinates the Master Document Registers (MDR) and ensures distribution of documents aligns with the Project's Document Distribution Matrix (DDM).
3. Contributes to the preparation and reviews the development of ITT packages to ensure company requirements are captured for the duration of the agreement.
4. Ensures company requirements are effectively communicated to Vendors to ensure seamless delivery of deliverables.
5. Comprehensive understanding of Project Information Handover requirements, policies and procedures to have a resilient and structured approach to achieving Early and Final deliverables.
6. Assists in producing and compiling periodic management reports.
7. Provides general daily assistance to the project management team in all matters relating to technical documentation and correspondence.
8. Ensures adherence of company and Contractor teams to Project Policies and Procedures within the Information Management disciplines.
9. Ensures early and handover documentation is scheduled to be delivered on time to end users and asset owners, facilitating the later transfer of the care and custody of the asset.
10. Attend and prompt weekly discipline meetings with counterparts from internal disciplines, and Contractor organization to resolve any concerns and troubleshoot any issues raised.
Part B: Person Specification - Minimum Requirements
Qualifications
- Bachelor's degree in Business, Accounting, Commercial, Marketing, Sciences, Engineering, Project Management, Supply Chain Management, Law, Communication, Technologies, Mathematics, or Statistics
Knowledge and/or Experience
- 8 years' experience in information management fields including 4 years experience in Oil and Gas
- Experience in working with EPC Contractors, sub-contractors, and Vendors
- Knowledge in project business related functions/disciplines such as scheduling, risk management, change management, procurement, pre and post-award contract management, reporting, lessons learned, and support services.
- Strong knowledge of relevant software and computer skills such as dashboards, data analytic tools, and business automation/enhancement software
- Sound written and verbal communication skills, with the ability to communicate at all levels of the organization.
- Successful track record in similar roles in large international projects.
Technical and Business Skills
- A high level of proficiency in written and spoken English
- Computer literacy involving the regular use of professional office applications and some technical applications
