Document Control Specialist

Location: Paris, France

Key Responsibilities

  • Support project document control activities under the supervision of the document control manager and provide cover for package document controllers as needed.
  • Ensure effective application of project document control processes, procedures, standards, and tools.
  • Deliver efficient, effective, and secure control of project information, including document capture, quality assessment, rejection as applicable, coding, updating, review routing, and distribution.
  • Assist in checking the integrity and completeness of project information in the Electronic Document Management System (EDMS).
  • Interface with contractor document control teams and assure delivery of project documentation that meets project standards.
  • Ensure documentation and attributes comply with project information delivery requirements, business needs, and project schedule.
  • Support activities associated with information handover to operations or other specified post-project recipients.
  • Utilize and contribute to project lessons learned in accordance with best practices.
  • Help ensure the integrity and accuracy of master document registers.
  • Maintain document distribution matrices.
  • Respond to project team information and document queries and status requests.
  • Build strong working relationships with internal project team members and contractor document controllers.
  • Interface with information and document control managers, document controllers in other project locations, and EDMS administrators on EDMS issues.
  • Promote and demonstrate exemplary behavior regarding HSSE rules and requirements, company ethics, and code of conduct, and support implementation and control of these rules within the area of responsibility.
  • Participate in project digitalization to promote efficiencies, synergies, and simplification of processes.

Requirements

  • Education: Minimum High School Diploma.
  • Experience: At least 5 years in major oil and gas projects as a Document Controller.
  • Relevant professional experience from at least two different job roles related to engineering and/or supplier document control on projects or business assets, ideally with operator-based full lifecycle experience.
  • Experience working with Electronic Document Management Systems, MS Office applications, Adobe Acrobat, and scanning software.
  • Language: Fluent English required. French and Portuguese language skills are advantageous.
