Project Support Officer (English and Mandarin)

Role Purpose

Provide organised bilingual support to project managers and engineering teams delivering Australian power projects. This role requires professional English and Mandarin, accurate records, and confident coordination across internal teams, clients, and suppliers.

Key Responsibilities

• Coordinate meetings, calendars, agendas, minutes, actions, and follow-up across project teams.
• Maintain registers, correspondence, controlled documents, transmittals, and project filing structures.
• Prepare and format reports, presentations, trackers, and routine client communications.
• Monitor actions, submissions, approvals, and deadlines, and raise overdue items promptly.
• Support onboarding, travel, procurement, invoice administration, and other project logistics as required.
• Communicate in English and Mandarin with internal and external stakeholders and assist with straightforward translation.
• Check documents for accuracy, completeness, naming, and version control before issue.
• Handle confidential project and commercial information appropriately.

Qualifications and Experience

• Professional written and spoken English and Mandarin.
• Strong organisation, accuracy, and follow-through.
• Good Microsoft Word, Excel, PowerPoint, and Outlook skills.
• Experience coordinating multiple deadlines and stakeholders.
• Ability to write clear minutes and concise professional correspondence.
• Eligible to work full time in Malaysia under the stated requirements.

Desirable Experience

• Experience in engineering, construction, utilities, or technical consulting.
• Document control or project management system experience.
• Diploma or degree in business administration, project management, languages, or a related field.

Working Environment

This is a permanent, office-based position in Kuala Lumpur. The successful candidate will work as part of an international engineering team, with most assignments supporting power infrastructure projects in Australia. Some collaboration outside standard Malaysian office hours may occasionally be required to support project meetings and deadlines.
