Key Responsibilities

  • Act as the primary point of contact among executives, employees, clients, and external partners.
  • Create and maintain a harmonious working environment within the organization.
  • Maintain all personnel and administrative systems to support smooth operations.
  • Directly support the Head of Constructions and Projects to ensure division goals and objectives are achieved efficiently.
  • Manage the mobilization and field movement of eight offshore construction teams.
  • Plan and orchestrate workflows to support senior executives' priorities and uphold organizational best practices.
  • Coordinate executive schedules, agendas, travel arrangements, and manage logistics for meetings and events.
  • Handle document management, including database entry, workflow monitoring, and preparation of reports or presentations as requested by the Head of Department.
  • Ensure compliance with safety instructions, company values, policies, and relevant laws and standards.
  • Maintain professionalism, strict confidentiality, and exercise discretion in all business interactions.
  • Oversee team communications and plan internal or offsite events.
  • Manage onboarding and offboarding processes for department personnel, including Main Master List records and contractor coordination.
  • Coordinate and confirm all required certificates and training are up to date for assigned resources.
  • Handle employee expense claims and manage overall personnel mobilization (300-400 personnel).
  • Organize onshore training assignments and related logistics for offshore personnel.
  • Arrange office space and general services requests for department staff.
  • Publish and update content on the department's intranet page.
  • Control and expedite overdue documents and comments while managing technical documentation distribution.

Context and Environment

The role involves complex operational interfaces with multiple internal entities. The position is based in Doha, Qatar, with potential missions to project premises onshore, offshore, within, or outside the country. Standard working hours apply: 5 days a week.

Requirements

  • Professional Experience: Minimum 10 years overall.
  • Project Experience: At least 5 years in a similar field.
  • Education: Diploma or higher certificate required.
  • Skills:
    • Multi-skilled with a coordinated approach to timely problem resolution.
    • Working knowledge of document and data control.
    • Fluent in English with strong interpersonal and communication skills.
    • Excellent time-management and multi-tasking abilities.
    • Able to work under pressure with minimal supervision.
    • Flexible team player, adaptable, and open to challenges.
    • Proficient in Microsoft Office and office productivity tools with the aptitude to learn new systems.

Work Schedule

Standard working hours, five days a week.
