JOB TITLE
Project Manager

SITUATION IN ORGANIZATION

ACCOUNTABILITIES
· Responsible for the end-to-end planning and execution of the companys headquarters relocation, ensuring delivery within agreed timelines, budget, and quality standards.
· Lead and manage complex interfaces, drive decision-making, and ensure performance across all project phases (design, construction, fit-out, relocation, close-out, and handover).
· Oversee governance, stakeholder alignment, and executive reporting, while managing project controls (schedule, risks, dependencies, and corrective actions).
· Ensure compliance with contractual, financial, quality, safety, government and operational standards, including administration of the lease contract and proactive management of variations, risks, and EOTs.
· Manage procurement, commercial activities, and project budgets, including cost control and forecasting.
· Develop, maintain, and control comprehensive project management documentation across the full project lifecycle.
· Issue end of project report for management and capturing all lessons learnt.

ACTIVITIES

Project Planning & Execution
· Lead and oversee all phases of the headquarters relocation, ensuring delivery against approved milestones, deliverables, timelines, and operational constraints.
· Develop and manage detailed project timelines, including tender durations, system requirements, lead times, dependencies, critical paths, and schedule buffers.
· Develop and maintain comprehensive project management documentation aligned with company standards and professional project management practices, including but not limited to: the Project Management Plan, project charter, scope of work(s), master communication plan, master schedule and detailed timelines, budget management plans, cost control reports, risk registers, mitigation strategies, issue and change logs, RACI matrices, decision logs, and action trackers; dashboards, KPI tracking, and performance reports; project status reports, executive summaries and management presentations; Steering Committee reports; contracts and procurement documentation; project handover documentation, close-out reports, and lessons learned register.
· Ensure accuracy, version control, and full lifecycle integration and control of project deliverables for all project documentation.
· Track and control project schedules, action plans, and forecasting, proactively identifying challenges and implementing corrective actions.
· Coordinate closely with the landlord on design development, construction activities, authority approvals, handover processes, and contractual obligations.
· Ensure project quality, safety, compliance standards, and performance requirements are consistently met across all phases.
· Coordinate with internal entities and relevant department focal points to capture accurate requirements, operational needs, and future growth considerations.
· Review, validate, and ensure integration of technical specifications, designs, and documentation.
· Monitor site progress through regular inspections, verifying material quality, certifications, warranties, and compliance with specifications.
· Oversee project close-out activities, ensuring proper documentation, handover, and operational readiness.
· Ensure alignment between project delivery and business continuity and operational transition planning.

Project Controls, Governance, and Documentation
· Implement and maintain project governance frameworks, ensuring full compliance with company standards and approval processes.
· Lead and coordinate governance forums, including Steering Committee, Operational, HSEQ, Finance, Contracts & Procurement, and project progress meetings.
· Maintain accurate records of meetings, decisions, correspondence, and project-related documentation.
· Implement and manage a centralized digital system for all project data and documentation, ensuring accuracy, accessibility, version control, and alignment with company standards.
· Capture and integrate lessons learned into ongoing project activities and continuous improvement initiatives.

Stakeholder Management, Communication & Reporting
· Act as the primary point of contact between internal stakeholders, consultants, contractors, vendors, and management.
· Establish and maintain effective communication channels across all project stakeholders and participants.
· Provide regular progress reports and KPI reporting to senior management.
· Ensure alignment and collaboration between all project stakeholders, including internal departments and external stakeholders.

Risk, Compliance & Sustainability
· Identify and manage project risks, ensuring mitigation measures, contingency planning, and timely escalation of critical issues and decisions.
· Monitor project performance against KPIs, budgets, timelines, and operational requirements.
· Ensure full compliance with company standards, regulatory requirements, HSE policies, and governance mandates.
· Integrate sustainability initiatives and workplace optimization strategies to support the reduction of greenhouse gas emissions into the project.
· Drive implementation of environmentally responsible initiatives to reduce operational emissions and improve energy efficiency.

Procurement, Vendor & Contractor Management
· Manage procurement and tendering activities, including technical evaluations, contractor selection, and vendor management in coordination with Contracts & Procurement.
· Ensure the technical and professional capability, and compliance of all vendors.
· Monitor contractor performance, ensuring adherence to contractual obligations, manpower requirements, and technical standards.
· Coordinate tenant-scope procurement activities.
· Support preparation of procurement strategies.
· Monitor procurement schedules, especially for long-lead items critical to project delivery and relocation.
· Ensure integration between procurement activities and operational readiness planning.

Contracts Management
· Review, draft, and manage contracts to ensure compliance with legal, commercial, and organizational standards.
· Monitor contract performance.
· Manage amendments, variation orders, claims, and Extension of Time (EOT) requests.
· Monitor and address contractual disputes and ensure compliance with landlord obligations and project agreements.

Budget Management
· Develop and manage project budgets, cost estimations, forecasting, and cost control processes.
· Collaborate with finance and procurement teams to ensure accurate reporting and compliance with company policies.
· Manage and monitor project expenditures, ensuring alignment with approved budgets and financial constraints.
· Identify and escalate budget variances, risks, and overruns during the project lifecycle and implement corrective actions where required.
· Prepare project financial reports and performance presentations for stakeholders.

CONTEXT AND ENVIRONMENT
Work is primarily performed in a standard office environment, with regular site visits required to monitor construction progress, conduct inspections during design, fit-out, and relocation phases. The role may involve engagement across active construction sites, interaction with contractors and landlord representatives, and attendance at external meetings as needed.

QUALIFICATIONS & EXPERIENCE REQUIRED
· Bachelors degree in Architecture, Engineering, Construction, Project Management, or a related discipline.
· Professional certifications such as PMP (Project Management Professional) or an equivalent qualification are mandatory.
· Minimum of 10+ years of relevant project management experience with demonstrated leadership in complex, large scale projects.
· Proven experience in delivering major capital projects, including office buildings, corporate headquarters, and commercial developments within the region.
· Extensive experience managing complex, multi-stakeholder environments, preferably on projects exceeding 25,000 sqm in scale and high operational impact.
· Strong expertise across the full project lifecycle, including design management, construction management, procurement, contract administration, commercial management, and senior stakeholder engagement.
· Excellent leadership, communication, and presentation skills.
· Proficiency in project management tools and systems.
· Strong problem-solving and decision-making capabilities.
· Solid understanding of project governance, controls, and commercial management.
