 Work Schedule: Monday - Friday - 8 Hours per day

Location to Perform the Work: Full Time Onshore
SCOPE OF WORK
 Assist the MD-1 and the functional leadership team with various administrative tasks,
incl offshore OIMs
 Assist the MD-1 and the functional leadership team when the Asset secretary is
absent
 Expense management for MD-2 (TRECK) and Functional Leads in Field Operations
 Logistics and practical set-up of VIP visits together with Integration Lead
 Department town halls - liaison for IT and facility management
 Role-model and promote compliance with company systems and rules. Liaise with
relevant department, e.g. TCS HR during introduction of Total's travel policy and
online travel system, Treck.
 Assist with on-boarding new permanent staff, order hardware etc., introduction to the
building and intranet etc.
 Non-Organic contractor management, on and off-boarding, incl. support to all staff
onshore and offshore, other secretaries & assistants
 Departmental travel booker
 Verify and ensure correct accounting details entered in SAP for travel costs
 Support department ensuring correct accounting details in SAP
 Creation of Service Orders for departmental costs
 Arrange meetings, booking rooms/venues and catering for onshore and offshore
 Facility the two-day Annual Safety Conference for safety representatives in TEPDK
and TEPDK Management Team
 Responsible for Department's WAT page - content editor on client's SharePoint
sites
 Ad-hoc administrative tasks
BACKGROUND/QUALIFICATION/EXPERIENCE
 Bachelor Degree in Administration, Management, Business related discipline
 2 year + above experience in relevant field
 Excellent communication skills in English - oral and written
 Strong Microsoft Office skills
 Knowledge of SAP is beneficial
 Ability to handle confidential information and knowledge of discretion
 Ability to create position relationship with peers and internal/external stakeholders
 Attention to detail

 Position attitude to challenges, change and personal development
 Ability to meet deadlines, prioritise and be proactive
