Senior Technical Assistant

Location: Qatar (Project Site)


Qualification:

  • Diploma or equivalent with appropriate training in computer software, clerical activities, and office administration.

Experience:

  • Minimum 5 years of experience in administration/clerical functions, including strong computer skills and database management.

  • Advanced knowledge of MS Office applications.

  • Skills: creativity, initiative, teamwork, strong written, communication, and interpersonal skills.

  • Familiarity with project execution and tendering terminology and basic technical understanding.

  • Knowledge of PDMS project document control systems is desirable.

Primary Duties and Responsibilities:

  • Assist Project Manager/Construction Lead in all administrative and clerical duties for the NGL-5 Project.

  • Supervise administrative and office support functions, ensuring confidentiality at all times.

  • Maintain an efficient filing system, process incoming/outgoing mail, and liaise with relevant departments on administrative issues.

  • Maintain and update comprehensive office filing systems for correspondence, reports, minutes of meetings, and confidential project documents.

  • Track correspondence from Management, Department Heads, and Division Heads; distribute to action parties per Manager directives.

  • Process duty visit forms and expense claims, coordinating approvals and forwarding to HR.

  • Manage office stationery requirements, prepare call-off orders, and maintain stock levels.

  • Maintain updated telephone lists for the department.

  • Track outstanding action items and follow up with departments to ensure completion.

  • Prepare, type, check, and dispatch memos, reports, letters, and faxes with appropriate signatures.

  • Arrange safety clothing and PPE for project staff as required.

  • Coordinate security passes for project sites including Mesaieed, Refinery, and Ras Laffan.

  • Maintain spreadsheets tracking project staff records, area access passes, H2S certificates, TAAS, allowances, leave plans, and training schedules.

  • Coordinate recruitment schedules and interviews in liaison with HR and PS departments.

  • Maintain project fact sheets and records for instant access, including variation and WCR history.

  • Coordinate SAP data input related to project handover requirements.

  • Prepare and deploy project handover dossiers.
