Document Controller / Senior Document Controller
(2-Year Contract)

Location: Kuala Lumpur, Malaysia

We are looking for experienced Document Controllers to join a high-performing project team within a major infrastructure or industrial programme. These roles offer the chance to be a key part of the information management process on a significant and complex project, ensuring documentation is accurately handled, stored, and distributed in line with project standards and regulatory requirements.

You will perform document control activities independently across supplier and engineering documentation scopes, ensuring all records are accurate, complete, and compliant. Reporting to the Document Control Lead, you will contribute to the smooth operation of the document management function and act as a reliable interface between technical teams and data systems.

Key Responsibilities

  • Perform project document control tasks with minimal supervision across engineering and supplier documentation.

  • Receive, process, and manage documents within the electronic document management systems (EDMS).

  • Maintain and update the Distribution Matrix for tracking document flow and release.

  • Verify data integrity and completeness for all incoming documentation.

  • Maintain structured filing systems (both electronic and hard copy) for efficient retrieval.

  • Track and manage documentation related to quality, regulatory, and statutory compliance.

  • Coordinate document submission, revisions, and distribution with internal and external stakeholders.

  • Assist in the preparation and distribution of periodic reporting and metrics.

  • Represent document control function in internal meetings when required.

  • Review supplier documentation indices to ensure alignment with approved document deliverables.

  • Support internal and external audits as required.

Requirements

Education:

  • ITE, A Level, or Diploma in a relevant field.

Certifications:

  • Microsoft Office training or equivalent certification.

Experience:

  • 5 to 6 years of experience in document control roles, preferably within engineering, construction, or industrial project environments.

  • Solid understanding of document control functions, terminology, and lifecycle management.

  • Proven ability to independently complete tasks, manage priorities, and meet deadlines.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint).

  • Experience with document control software such as Documentum, SharePoint, PIMS, or equivalent platforms.
