Job Title: Project Assistant - Office Support & Coordination

Location: Muscat, Oman

Assignment Type: Resident - 5 days per week

Contract Duration: 12 months (renewable)

Start Date: ASAP

Overview:

We are recruiting for a Project Assistant to support a high-profile LNG project based in Muscat. This is an exciting opportunity for a highly organised and proactive individual to join a dynamic team and provide crucial administrative and project coordination support across local and international locations (Oman and France).

Key Responsibilities:

Administrative & Organisational Support

  • Manage incoming/outgoing mail and electronic correspondence; maintain digital and physical filing systems
  • Draft and edit correspondence, meeting minutes, reports, and internal notes
  • Prepare dashboards, statistics, charts, and PowerPoint presentations
  • Manage calendars, book appointments, and schedule meetings
  • Support travel arrangements (flights, hotels, visas, transport, restaurants) for team members
  • Coordinate onboarding/offboarding of employees, interns, and contractors
  • Assist with purchase requests in SAP (training provided)
  • Support office administration and general services within the Muscat site
  • Help manage admin documentation, HR assistance tasks, and training compliance tracking
  • Support procurement and technical service processes (tenders, POs, invoices, etc.)

Communication & Coordination

  • Handle incoming telephone calls and coordinate visitor reception
  • Register team members for training courses, conferences, and seminars
  • Distribute internal and legal documents within the organisation
  • Maintain intranet pages, organisational charts, and internal presentations
  • Coordinate logistics and project assistance with colleagues in Oman and France
  • Support onboarding by arranging IT access, badges, and workspaces

Required Profile:

  • Minimum 5 years' experience in a similar administrative or coordination role
  • Bachelor's degree in Business Administration or a related field
  • Fluent in English (spoken and written)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable working with numbers
  • Strong organisational and time-management skills
  • Ability to multitask and maintain confidentiality

  • This is a resident role based in Muscat, Oman
  • Applicants must be authorised to live and work in Oman or be eligible for visa sponsorship
  • Role supports both local and international teams and may involve cross-location coordination
