KEY RESPONSIBILITIES
The Operations & Logistics Assistant will provide essential on-site support to the project team in Luleå. This role is responsible for managing day-to-day logistics, team coordination, accommodation arrangements, vehicle allocation, rotation planning, and handling incoming materials and PPEs. The ideal candidate will be based in the Luleå region and able to ensure smooth operational support without the need for company-provided accommodation.
This position is key to ensuring efficient site operations and enabling the project team to work effectively.
KEY RESPONSIBILITIES
Team & Operational Support
- Act as the primary point of contact for operational support for the team stationed in Luleå.
- Coordinate team rotations, schedules, and arrival/departure planning.
- Assist with onboarding arrangements for team members arriving onsite.
Logistics & Material Handling
- Manage the receipt, inspection, and distribution of materials delivered from Spain or other locations.
- Oversee inventory of PPE (personal protective equipment) and ensure timely distribution to staff.
- Maintain logs of materials, equipment, and consumables.
Accommodation & Vehicle Coordination
- Organise and manage accommodation arrangements for rotating staff.
- Coordinate vehicle availability, allocation, and maintenance schedules.
- Ensure smooth day-to-day management of local resources and logistics.
Administrative & Site Support
- Maintain operational records, logs, and documentation.
- Support procurement activities, including checking deliveries and liaising with suppliers when necessary.
- Assist in general administrative duties required for site and office operations.
- Collaborate closely with project managers, site leads, and document control teams.
CANDIDATE PROFILE / REQUIREMENTS
- Preferably based in Luleå or surrounding areas (local candidate strongly preferred).
- Previous experience in logistics, operations support, site administration, or coordination roles.
- Strong organisational and problem-solving skills.
- Ability to multitask and manage a variety of operational responsibilities simultaneously.
- Good communication skills and the ability to work with multinational teams.
- Proficient in MS Office (Excel, Word, Outlook).
- Ability to work independently, take initiative, and handle onsite responsibilities confidently.
- Experience in construction, engineering, or industrial project environments is an advantage (not mandatory).
