JOB OVERVIEW

An organisation operating within the energy and industrial sector is seeking an Events and Creative Services Assistant to support corporate events, communications, and creative services. This role provides administrative and operational support across event coordination, creative content production, documentation, and corporate gifting, contributing to effective internal and external communications.

The position works closely with communications, executive administration, and external service providers to support high-quality event delivery and branding activities.

KEY RESPONSIBILITIES

Creative and Communications Support

  • Assist with basic video and photo editing, including preparation of visual materials and simple montages for publications and corporate use.

     

  • Support preparation and publication of press releases and media materials by editing visual content and coordinating approvals.

     

  • Review images received from internal departments to ensure alignment with corporate branding guidelines.

     

  • Coordinate with external creative agencies to support delivery of creative materials, campaigns, and branding outputs.

     

  • Act as a focal point for coordinating graphic artwork requirements.

     

Events Coordination

  • Collect event information from internal stakeholders and support planning activities in line with approved schedules.

     

  • Coordinate logistics for conferences, exhibitions, and corporate events, including venues, audio-visual support, catering, publications, and publicity.

     

  • Support preparation and distribution of event materials, including images and video content.

     

  • Assist with invitation management, including preparation of invite lists and tracking responses.

     

  • Support post-event evaluations by collecting feedback and preparing summary information.

     

  • Maintain event records, including plans, photos, and reference materials.

     

  • Provide basic event photography support and coordinate publication of approved content.

     

Documentation and Records Management

  • Maintain organised databases for media materials, speeches, creative assets, and reference information.

     

  • Archive press releases and communications materials in both digital and physical formats for easy retrieval.

     

Corporate Gifts and Inventory Support

  • Assist with planning and coordination of corporate gifts for events and official activities.

     

  • Support purchasing, tracking, and inventory management of gift items.

     

  • Process internal requests for corporate gifts, including approvals, ordering, and distribution.

     

  • Maintain storage areas in line with health, safety, and housekeeping standards.

     

  • Monitor inventory levels and support reordering activities when required.

     

Policies and Procedures

  • Support document control activities, including tracking review dates, updating records, and coordinating approval workflows.

     

Safety, Quality, and Environment

  • Carry out all duties in compliance with applicable safety, quality, environmental, and risk management procedures.

     

Continuous Improvement

  • Contribute ideas and support initiatives aimed at improving systems, processes, and working practices.

     

REQUIRED QUALIFICATIONS

  • Diploma in public relations, hospitality management, business administration, or a related discipline.

     

  • Certification in creative or media-related services is desirable.

     

REQUIRED EXPERIENCE

  • 2 to 4 years relevant experience in events coordination, communications, or administrative support roles.

     

  • Experience in the energy or industrial sector is advantageous but not essential.

     

SKILLS AND COMPETENCIES

  • Creative coordination and basic visual editing capability.

  • Strong relationship-building and communication skills.
