Work Schedule: 5-days per week / Residential Role
Key Responsibilities:
- Provide assistance to Senior Document Controllers, Document Controllers, and Senior Technical Assistants on project document control using PDMS
- Coordinate with Supervisor to process project documents within the minimum possible turnaround time to meet contractual review cycles
- Carry out quality checks on deliverables received from Contractor and distribute to Project Management Team (PMT) using Document Distribution Matrix (DDM)
- Assist in the preparation of DDM using Contractors Master Document Register (MDR) for PMT review/approval
- Record and report technical correspondence, track transmittals through several review cycles and multiple reviewers
- Establish and implement an electronic retrievable system for all closed out standards and standard drawings
- Generate weekly internal and external overdue reports for project deliverables and weekly SPIR status reports for Supervisor review and distribution to other Reviewers
- Assist in generating External Transmittal to close out documents in PDMS and issue the same to Contractor after PE approval signature
- Carry out independent document control activities for minor Engineering Consultancy Services and Front End Engineering Design (FEED) projects as instructed by Supervisor
- Provide upkeep and maintenance of PDMS/ASSI for project documentation and hard copy filing of original Contractor Transmittals and signed External Transmittals in line with QMS requirements
- Coordinate with Supervisor for close out of projects, assist in the review of final project documentation, and provide assistance in archiving/disposal of documentation for completed projects
- Take initiative to highlight anomalies and report to Supervisor so that corrective action can be initiated to avoid delays in the document review cycle
- Assist in development of new procedures to increase the efficiency of the system for better traceability and retrievability
- Maintain and update a comprehensive filing system in the Division by utilizing the Correspondence Tracking System; maintain a back-up system and ensure the system is updated for audit purposes
- Assist the Supervisor in Qatari Development programs
- Work beyond normal working hours as and when required, including weekends as necessary
- Act as delegate for other Senior Personal Assistants, Personal Assistants, and Admin Assistants
- Follow up on Security pass, Time sheets, Reports, and other requirements of the Section
Requirements:
- Higher Secondary level of general education supplemented with training on computers
- Minimum five (5) years experience in clerical functions
- Ability to work with minimum guidance and demonstrate a high degree of drive and initiative
- Willingness to work beyond normal working hours, including weekends as necessary
- Training on records management and automated systems is considered an advantage
- Good written and spoken English and working skills are essential
