DOCUMENT CONTROLLER

Overview
We are supporting a major organisation in the recruitment of multiple experienced Document Controllers to support engineering and technical projects within a structured, high-volume environment. This role is ideal for detail-oriented professionals who thrive on accuracy, coordination, and maintaining control over complex documentation workflows.

You will work closely with project teams and senior stakeholders to ensure technical documentation is processed, tracked, distributed, and archived efficiently and in line with established procedures.

Key Responsibilities

  • Support senior document control and technical staff with day-to-day project document control activities

  • Coordinate document processing to meet agreed review cycles and turnaround times

  • Perform quality checks on technical deliverables prior to distribution to project stakeholders

  • Prepare and maintain document distribution matrices based on project registers

  • Track technical correspondence and transmittals across multiple review cycles and reviewers

  • Establish and maintain structured electronic and hard copy filing systems for project documentation

  • Produce regular internal and external status and overdue reports for management review

  • Prepare and issue approved external transmittals for document close-out

  • Manage document control activities for smaller engineering and front-end design projects when required

  • Maintain project documentation systems in line with quality and audit requirements

  • Support project close-out activities, including final documentation review, archiving, and controlled disposal

  • Proactively identify documentation issues or anomalies and escalate them to minimise delays

  • Assist with the development and improvement of document control procedures to enhance efficiency and traceability

  • Provide administrative cover for other support staff when required

  • Support operational needs outside standard working hours when necessary

Qualifications

  • Higher secondary education or equivalent, supported by training in computer applications

  • Formal training in records or document management is an advantage

Experience and Skills

  • Minimum of 5 years experience in a document control or clerical role within a technical or engineering environment

  • Strong written and spoken English communication skills

  • Proven ability to work independently with minimal supervision

  • High attention to detail and strong organisational skills

  • Confident using electronic document management systems and standard office software

  • Professional, proactive approach with the ability to manage competing priorities
