Document Controller

An excellent opportunity has arisen for an experienced Document Controller to join a major oil and gas project. The role will be responsible for managing project documentation across multiple workstreams, ensuring accuracy, compliance, and timely distribution throughout the entire project lifecycle.
Job Description
The Document Controller will coordinate and maintain the flow of project documents, ensuring that all project deliverables are correctly controlled, distributed, and archived. The role supports the project management team by implementing document control procedures and ensuring compliance with established standards and key performance indicators.
Key Responsibilities
- Attend project kick-off and document control meetings with the project management team and contractors.
- Organise, prioritise, review, and distribute project deliverables and vendor documentation through the Project Document Management System (PDMS).
- Ensure consistent quality and service levels for document control activities in line with project KPIs.
- Manage document flow across multiple projects at various stages.
- Liaise with project management, internal departments, and senior document control personnel on day-to-day document control tasks.
- Support the project team with document control procedures, standards, tools, and templates to streamline project documentation.
- Prepare Document Distribution Matrices (DDM) based on the approved Master Deliverable Register (MDR) and monitor compliance throughout the project.
- Provide document status reports and dashboard analyses to monitor document lifecycle performance and reviewer contributions.
- Generate Engineering Deliverable Register (EDR) discrepancy reports to validate contractor progress claims against actual document status.
- Review project dossier indices and final documentation to ensure completeness prior to project close-out.
- Participate in internal and external audits related to quality management systems.
- Provide training and mentoring to junior team members.
- Carry out proper archiving of project documents upon project completion.
Qualifications
- Minimum of a 3-year Diploma in any discipline.
- Proficient written and verbal English communication skills.
Experience
- Minimum 6 years of hands-on experience in project document control within Engineering Consultancy, Front-End Engineering Design, and Engineering, Procurement, Installation and Commissioning (EPIC) projects in the oil and gas sector.
- Solid experience with Electronic Document Management Systems (EDMS) and Project Document Management Systems (PDMS).
- Strong organisational and prioritisation skills with attention to detail.
- Ability to operate independently while managing document control across multiple projects.
- Experience working within integrated project services teams.
