Summary:
We are looking for a highly organized and proactive Administrative Clerk to support the Executive Assistant (EA) in a fast-paced office environment. This role is ideal for someone who takes pride in keeping things running smoothly behind the scenes. You'll handle a wide range of daily administrative tasks, allowing senior staff to focus on high-level priorities.
This is a hands-on role that requires strong multitasking skills, great attention to detail, and the ability to stay calm and focused under pressure.
Key Responsibilities:
- Monitor office supply levels, place restock orders, and coordinate equipment maintenance.
- Prepare coffee and stock conference rooms with items listed on visitor forms to ensure a welcoming experience.
- Order and serve catered lunches for working meetings as requested.
- Organize and coordinate meetings, including preparing agendas and booking rooms.
- Set up meeting rooms and ensure they are ready for use.
- Draft and format professional emails, memos, and other written communications.
- Respond to general inquiries and direct them to the appropriate department.
- Maintain organized file systems for easy retrieval of records and correspondence.
- Greet scheduled visitors and guide them to the appropriate person or location.
- Arrange travel schedules and accommodations as needed.
- Provide support to other departments when time allows.
- Perform additional duties as assigned to help ensure efficient office operations.
