Job Title: Administration Coordinator

Location: Grimsby, Lincolnshire
Contract Length: Initial contract until 31 August 2025, with potential for extension
Working Hours: Monday to Friday, 7.5 hours per day
IR35 Status: Inside IR35

We are recruiting an Administration Coordinator to support a high-performing operations team within the renewable energy sector. This is a fantastic opportunity to work on impactful projects in a global environment where operational excellence and sustainability are at the heart of everything.

About the Role:
The successful candidate will provide comprehensive administrative and coordination support across various ongoing projects. This role ensures smooth planning, governance, communication, and documentation within a fast-paced, international environment.

Key Responsibilities:

  • Provide planning support and ensure compliance with operational governance.

  • Act as liaison for internal global teams on project requests and queries.

  • Manage and maintain Statement of Requirements (SoRs) and project trackers.

  • Coordinate project status updates, deadlines, and reporting documentation.

  • Produce monthly performance dashboards with accurate narrative and data.

  • Handle documentation and lifecycle management using the internal system.

  • Manage annual reviews and audits of project documentation and performance.

  • Facilitate workshops aimed at improving processes and promoting consistency.

  • Track and report on scheduling changes and project scope deviations.

  • Assist with team onboarding, recruitment, and training material preparation.

  • Coordinate near shore/far shore initiatives and meeting governance.

  • Provide PA-level support, including diary management and logistics.

  • Liaise with site visitors, stakeholders, and ensure clear communication flow.

  • Maintain inspection records, safety documentation, and compliance data.

  • Act as SAP purchasing super user and support procurement processes.

  • Maintain and update team distribution lists and safety packs.

  • Support strategic planning and assist in departmental event organisation.

  • Ensure all documentation is version-controlled, accessible, and audit-ready.

  • Perform ad hoc administrative tasks as required.

Requirements:

  • Relevant qualifications and educational background for an administrative support role.

  • Proven experience in administration within a busy or technical environment.

  • Excellent communication, coordination, and problem-solving abilities.

  • Strong IT skills, particularly in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Ability to manage competing priorities and maintain high attention to detail.

  • SAP experience is desirable but not essential.

  • Experience working within a large or international organisation is advantageous.
